Job Description

Reporting to the Associate Vice Chancellor for Alumni Engagement and Annual Giving, the Alumni & Annual Giving Associate supports the work of the Office of Alumni Engagement and Office of Annual Giving by providing general office support; interacting with various constituents by phone, email and in person; and by managing student workers for the Division.

Responsibilities

Provides information by answering questions and requests via walk-in traffic, telephone and email.

Checks daily, routes/responds to alumni@umsl.edu and giving@umsl.edu central email.

Assists with scheduling internal meetings for Alumni/Annual Giving team members.

Maintains supplies inventory, including envelopes, letterhead, alumni-branded items and general office supplies. Coordinates orders with appropriate staff.

Performs basic data look ups and data entry. Prepares, formats, and submits larger data updates to Advancement Services that enhance alumni & annual giving efforts.

Maintains the reservation calendar for Woods Hall 101; posts weekly meeting schedule at entrance; and assists with meeting preparation by unlocking/locking door and ensuring computer and projector system are operational.

Supports a variety of alumni engagement efforts, including tracking event RSVPs; making nametags; ordering catering; creating Zoom and Teams meeting links; and sending calendar invites for various internal and external meetings.

Supports a variety of annual giving and leadership annual giving efforts, including merging, printing and mailing of solicitation letters.

Submit activity dates to the comprehensive calendar on behalf of the department.

Gets mail daily (via student worker); opens mail/scans gift/correspondence (for logging) and gives to Gift Processor.
Manages student workers for Division (in terms of posting student worker jobs, scheduling interviews, training compliance, ensuring student workers are logging time appropriately, etc.).

Other duties as assigned.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

Bachelor's degree is preferred.

At least 3 years of experience from which comparable knowledge and skills can be acquired.

Must have strong interpersonal skills and be able to interact/work with people from a variety of diverse backgrounds.

Must be able to handle sensitive, confidential and/or complicated information and use judgement to communicate to and within the team and/or necessary parties.

Must be proficient in use of Microsoft Office products, specifically Outlook, Word and Excel.

Must have exceptional customer service skills, strong organizational skills and high attention to detail.

Anticipated Hiring Range

Pay commensurate with education and experience.
Hiring Range: $18.27-$20.20 Hourly
Grade: GGS-8
University Title: Advancement Associate II
